These four things keep me on track and my life together while I work remotely as a virtual assistant and content creator.

The virtual assistant life can get hectic. Managing all the clients and all their individual needs requires a lot of juggling and all the systems to make sure everything is getting done. These are the four things I have to have to keep all the balls in the air!

Trello

First up is a task management app. Trello allows me to see where I am on any given number of projects in real time. I can assign dates and times to things, add notes, and even create sublists where I can remind myself of all the details.

Having a board where I can look at everything at once has been a total game changer for my business.

Kajabi

Kajabi is the platform my website is based on, but I also use it for customer management, email marketing, and billing. Eventually when I start creating courses, this is where they'll live too!

Kajabi makes it incredibly easy for me to manage all things client related in one place. I can communicate with anyone, see their entire client journey, or just verify that they paid. I absolutely love it and would highly recommend it to anyone wanting an all-in-one platform. I'm using the Kickstarter program.

Google Workspace

Why anyone would use anything but Google is honestly a mystery to me. I love it. It functions incredibly. It's versatile. It's easy to hand off to another device, to a client, or to my favorite proof-reader.

It also makes it super easy to organize everything into project folder or client folders which is single-handedly keeping my sanity in tact. Every client has their own folder in my email and in my drive so I can keep all communications, project documents, and timesheets together. Without Google Drive, I think I would have already given up. No lies.

Canva

This is my favorite design app. I've used several but all the others make it too complicated to do simple things. Canva is easy, which makes it feel accessible to try things you've never tried before.

It also allows for highly organized filing. Each client has their own folder with their own brand kit so that whenever I need to create something for a client, I'm pulling up one window and everything is exactly where I need it, including past projects that I can review for inspo or to verify details. That feature makes me so happy.

Small business is unreasonably hard in a lot of ways. There are things no one tells you about being a business owner. That's why I'm always incredibly grateful for apps like these that make life and business EASY. Why work hard when you could work smart?
